Creating B2B Orders

A B2B order is created when you want to:

  • Send inventory to a retailer, wholesaler, distributor, or other commercial places of business.

  • Recall your sellable inventory back at your location.

Before you start, make sure you have:

In this article, you will learn how to create a B2B order on your Eshopbox workspace.

Note: You can create an individual B2B order or multiple B2B orders using your Eshopbox workspace.

Steps to create an individual B2B order

To create an individual B2B order, follow the below-given steps:

  • Step 1: Log in to your Eshopbox workspace.

  • Step 2: From the header, navigate to Orders > All B2B orders.

  • Step 3: You will be redirected to the B2B orders page. Click on Create > Create Single B2B order.

  • Step 4: You will be redirected to the Create B2B Order page. Enter the below-mentioned details.

    • Customer order ID: Unique order ID generated for your order.

    • Send inventory from: The Location from which you want to send the inventory.

    • Send inventory to: The Location where you want to send the inventory.

    • Batch Assignment Method: If you have enabled batch tracking on your workspace, you must select one of the following batch assignment methods based on the batch tracking attribute configured for your workspace. Learn how to enable batch tracking.

      • Specific Batch (Batch Code-Based Selection): Inventory is allocated using a specific batch number when the Batch code is set as the batch tracking attribute. This option is ideal when orders must be fulfilled from a designated batch.

      • Max Stop Ship Date (Shelf Life or Expiry Date-Based Selection): Inventory is allocated according to the Stop ship date, which indicates if a batch is still sellable. When you select either Manufacturing date or Expiry date as the batch tracking attribute, the system automatically calculates the stop-ship date for each batch.

      • Auto Assign (FEFO - First Expired, First Out): Inventory is automatically assigned from batches with the earliest Expiry Date, ensuring efficient stock rotation. This method works only when the Expiry date is the selected batch tracking attribute.

Note:

  • When you create a B2B order, it initially appears in draft status. Based on the available inventory to fulfil the order, you need to confirm the order. This step is necessary for the order to get processed. Learn here how to confirm a B2B order.

Steps to create B2B orders in bulk

There can be instances when you need to create multiple B2B orders. To create B2B orders in bulk, you need to follow the below-given steps:

  • Step 1: From the header, navigate to Orders > All B2B orders.

  • Step 2: You will be redirected to the B2B orders page. Click on Create > Create Multiple B2B orders.

  • Step 3: You will be redirected to the Create Multiple B2B Order page. Download the CSV template and enter the below details:

    • B2B order ID: Unique code to identify different B2B orders.

    • From location: The location code of the location from which you want to send the inventory.

    • To location: The location code of the location where you want to send the inventory.

    • Product ID: Product ID such as SKU, UPC, EAN, GTIN, or any other product aliases.

    • Quantity: Quantity of the SKU for which a B2B order needs to be created.

    • Expected RTS: Estimated date auto-calculated by Eshopbox when the order will be marked as Ready to Ship (RTS), allowing the pickup to be scheduled accordingly.

      Note: Expected RTS is required only if the order is created for your fulfilment location, while it is auto-calculated for all Eshopbox FCs.

  • Step 4: If you have enabled batch-tracking, choose the batch-assignment method. Download the CSV template based on the batch assignment chosen and enter the required details in addition to the Order ID, To Location, From Location, Product ID, Quantity, and Expected RTS mentioned above.

    • Batch Code: Batch code of that particular batch while creating the product as the batch tracking attribute if the batch code is selected.

    • Manufacturing Date: Date when a product is produced. If selected as the batch tracking attribute, you must also provide the product’s shelf life to determine its sellable period.

    • Expiry Date: Date when a product is no longer safe or suitable for use. If selected as the batch tracking attribute, you must also provide the threshold period, which determines when the product will be marked as non-sellable before its expiry.

    • Max Stop Ship Date: Date when the product's shelf life/ threshold period ends. If the stop-ship date of any product crosses, that product will be marked as non-sellable and will not be used to fulfil any orders.

  • Step 5: Upload the CSV file to import the orders. Click on Submit.

FAQs

Q.1 Can I cancel a B2B order?

B2B orders can only be cancelled when they are in the 'created' or 'confirmed' status. You cannot cancel an order once it has been processed. Learn here how to cancel a B2B order.

Q.2 Can I cancel B2B orders in bulk?

No, you cannot cancel B2B Orders in bulk. You need to select orders individually to cancel them.

Q.3 I created a B2B order, but it's not moving to processing status. What should I do?

B2B orders don’t process automatically. You need to confirm the order. After confirmation, the system allocates the inventory, and then the order proceeds through the fulfilment process. Learn here how to confirm B2B order.

Q.4 How can I track my B2B orders?

You can easily track your B2B orders by going to the All B2B Orders page in your workspace. This page provides a comprehensive view of all your orders and their current status. Learn here how to track B2B orders.

Q.5 How can I report a discrepancy in my received B2B order?

If you notice discrepancies between the inventory sent back to you and what you actually received, you’ll need to raise a claim. Claims can be filed for:

  • Missing items in the returned shipment.

  • Quantity mismatches between invoice and actual goods.

  • Damaged items during transit.
