Creating and verifying your packaging material

Packaging is an important step in the fulfilment process to ensure

  • The products are delivered to your customers safely and securely.

  • The correct packaging material is used which will help in reducing shipping costs and weight discrepancies.

Once you have created the necessary packaging material on your workspace, Eshopbox will recommend the most suitable packaging material while packing an order.

Steps to create a packaging material

To create a packaging material on your Eshopbox workspace, you need to follow the below-given steps:

  • Step 1: Login to your Eshopbox workspace.

  • Step 2: From the header, navigate to Settings.

  • Step 3: You will be redirected to the Settings page. Click on Packaging material.

  • Step 4: You will be redirected to the Packaging material page. Click on Create.

  • Step 5: You will be redirected to the Create Packaging material page. Enter the following details to create your packaging material.

    • Details: Add a name and description to your packaging material.

      • Packaging material type: Select the packaging material type you want to create.

        • Box: A box is a rectangular or square container typically made of cardboard, corrugated fiberboard, or plastic.

        • Flyer: A flyer is a thin, flexible sheet made of plastic, paper or fabric.

      • Packaging material Code: Provide the packaging material code visible on the packaging material. This should be scannable, as you will have to scan this code while packing an order.

      • Packaging material description: Mention a short name to identify the packaging material. For example, if you have created a box for packing medium-sized items, you can add the packaging material description as a Medium box.

    • Weight and dimension: Enter the length (cm), width (cm), height (cm), and dead weight (gm) of the shipment. Eshopbox collects this information to calculate its volumetric weight.

      Note:

      • If the packaging material requires any dunnage or fillers to secure the items, enter the total weight of the packaging material along with the fillers as the deadweight.

      • In case of a flyer, enter the maximum expandable height as the height measurement. This is the maximum height to which a flyer can be expanded or stretched when filled. This height represents the upper limit of the packaging material's capacity to hold the items without compromising on the structure or causing any damage.

    • Verification: You need to verify your packaging material’s weight and dimensions. This will ensure accurate chargeable weight and prevent weight discrepancies or disputes.

      To enable verification of the packaging material, you need to turn the toggle ON.

      If you have enabled verification, you need to share the physical images of the packaging material, highlighting the dimensions and weight, as in the image shown below.

      Note: Verifying the created packaging is an optional step. If you opt not to verify the packaging, it will appear under Unverified status. You can get it verified later, as well.

      Make sure that all the uploaded images are as per the guidelines below:

      • For Length, Width, and Height images:

        • Verify that the images clearly show the packaging material's length, width, and height with a measuring tool fully extended and visible alongside the product.

        • Ensure the measuring tool’s start point is aligned with the packaging material's edge, capturing the full measurement from end to end.

        • The images should be taken from a straight angle to avoid distortion, ensuring an accurate representation of the packaging material's dimensions.

        • For length and width, check that the measuring tool is parallel to the packaging material's edges and captures the widest points accurately.

        • For height, confirm that the packaging material is standing upright, with the measuring tool extending from the base to the topmost point.

        • The images should be clear and free of obstructions, and the measuring tool should be easy to read.

      • For Weight images:

        • Verify that the image clearly shows the packaging material's weight on a scale, ensuring the scale reading is fully visible and not obstructed.

        • Ensure that the scale is calibrated and displays the weight in the correct unit (grams).

        • Confirm that the packaging material is placed centrally on the scale to avoid weight distribution issues that could affect the accuracy.

        • The image should be taken from a straight angle to ensure the scale's display is clear and readable.

      • Scannable identifier: Verify that the image has a clearly visible scannable barcode.

        Note: This is mandatory when you are sending packaging material to an Eshopbox fulfilment centre.

      If the images uploaded are not as per the guidelines, Eshopbox will reject the packaging material in verification.

  • Step 7: Once you've done this, click on Submit.

Packaging material verification status

Once the packaging material is submitted for verification, its status is updated as In verification. The timeline for verification of submitted packaging material is 48 hours.

Once Eshopbox verifies the packaging material, the status will be updated as Verified.

If the packaging material is rejected in verification, it will move from In verification to Unverified highlighted in red.

You can hover over the status of the packaging material to track the rejection reason. Then, you need to resubmit the packaging material by updating the necessary details.

To do so, click on Verify packaging material. You will be redirected to the Verify packaging material page, where the details that need to be updated will be highlighted.

Once you have made the necessary changes, you need to submit this for re-verification.

Edit and verify packaging material

Depending on the status of the packaging material, you can either edit, view or verify the packaging material on your Eshopbox workspace.

  • Unverified

    To edit an unverified packaging material, you need to follow the below-given steps:

    • Step 1: From the workspace header, navigate to Settings.

    • Step 2: You will be redirected to the Settings page. Click on Packaging material.

    • Step 3: You will be redirected to the Packaging material page. Select the packaging material that you want to edit and click on the three dots.

    • Step 4: Select Verify packaging material.

    • Step 5: You will be redirected to the Verify packaging material page. You can make the necessary changes and click on Submit.

    You can also turn on the Verification toggle if you want to verify the packaging material.

  • Verified: If you want to edit verified packaging material, you can do so by following the below-given steps:

    • Step 1: From the workspace header, navigate to Settings.

    • Step 2: You will be redirected to the Settings page. Click on Packaging material.

    • Step 3: You will be redirected to the Packaging material page. Select the packaging material that you want to edit and click on the three dots.

    • Step 4: Select on View/Edit details.

    • Step 5: You will be redirected to the Verify packaging material page. You can make the necessary changes here.

  • Once done, you need to submit the packaging material for re-verification by Eshopbox. The timeline for verification of submitted packaging material is 48 hours.

  • In verification: You cannot make changes to a packaging material that is under verification.

Manage packaging material availability

There can be certain instances when the packaging material might get out of stock at the fulfilment location. In such cases, you need to mark the packaging material as Unavailable on your workspace.

Eshopbox does not recommend the packaging material marked as unavailable. You also won’t be able to select this packaging material when packing an order.

To mark a packaging material as unavailable, you need to follow the below-given steps:

  • Step 1: From the workspace header, navigate to Settings.

  • Step 2: You will be redirected to the Settings page. Click on Packaging material.

  • Step 3: You will be redirected to the Packaging material page. Select the packaging material that you want to edit and click on the three dots.

  • Step 4: Click on Mark Unavailable from the dropdown.

  • Step 5: A popup will appear. Click on Yes.

Once done, the packaging material will be marked as unavailable.

Once the packaging material is back in stock at the fulfilment location for packing orders, you can mark it as available again from your workspace. Eshopbox will start recommending this packaging material.

Steps to create packaging material in bulk

If you want to create multiple packaging material on your workspace, you can do so in bulk via import. To do so, you need to follow the below-given steps:

  • Step 1: From the workspace header, navigate to Settings.

  • Step 2: You will be redirected to the Settings page. Click on Packaging material.

  • Step 3: You will be redirected to the Packaging material page. Click on Import.

  • Step 4: You will be redirected to the Create or edit packaging material page.

  • Step 5: Download the CSV template and enter the details. Learn here how to prepare the CSV to create packaging via import.

  • Step 6: Upload the CSV and click on Submit.

To view the status of the CSV, navigate to Files from the header. In case of a failed error, you need to re-upload the CSV after troubleshooting it. Learn here how to troubleshoot CSV for packaging.

Why should I verify my packaging material?

Verifying the packaging material ensures

  • Access to Eshopbox Weight Overcharge Protection Program: By verifying your products and packaging, you can become eligible for the Eshopbox Weight Overcharge Protection Program.

    In case of any weight disputes between you and the courier partner, Eshopbox will raise the dispute on your behalf to the courier, providing an added layer of protection and peace of mind.

  • Accuracy in Weight Calculation: By verifying your packaging, you can ensure that the weight of your shipment is accurately recorded. This helps prevent any disputes or discrepancies later on, ensuring fair and transparent billing.

  • Cost Efficiency: Accurate packaging verification helps in determining the correct shipping charges upfront. This can prevent unexpected additional costs due to incorrect weight calculations or oversized packaging.

My packaging material got rejected in verification. How can I resolve this?

If your packaging material is rejected in verification, it will be visible as Unverified highlighted in red.

To resolve this, you need to follow the below-given steps:

  • Step 1: Track the rejection reason by hovering over the status of the packaging.

  • Step 2: Click on Verify packaging.

  • Step 3: You will be redirected to the Verify packaging page, where the details that need to be updated will be highlighted.

  • Step 4: You can make the necessary changes and click on Submit.

Your packaging will be submitted for re-verification.

How can I track the packaging associated with an order?

Once you create packaging on your workspace, Eshopbox will prompt you to choose the most suitable packaging for an order when you pack it.

You can track the packaging used for an order by navigating to the Orders or Activities tab for any selected order.

You can also view the same in the Sales order export report under Recommended packaging and Packaging code.

If the packaging recommended by Eshopbox is incorrect, then you need to

  • Verify your product and packaging, if not verified. Meanwhile, you can select the suitable packaging from the dropdown while processing the order.

  • If your product and packaging are verified but the recommended packaging is still incorrect, you need to raise this to Eshopbox. Learn how to raise a support ticket.

What are the requirements for sending packaging to an Eshopbox fulfilment centre?

When sending packaging material to the Eshopbox fulfilment centre, you must include:

  • A unique scannable identifier (such as a barcode).

  • A corresponding packaging code that matches your workspace entry.

These identifiers are crucial for scanning during the order-packing process, ensuring accurate tracking and processing.
