Preparing CSV template for consignment

When you are creating a consignment on Eshopbox, you need to share the inventory details using our inward template.

In this article, you will understand the inward template and how to prepare it correctly.

Steps to prepare CSV template for consignment

You need to follow the below-given steps to prepare a CSV template for consignment.

  • Step 1: Download the template by clicking on Download template.

  • Step 2: Add the consignment details. This template contains five columns. Below are the mandatory columns:

    1. Product ID: In this column, you need to add relevant product IDs. This can be any of the following:

      • SKU

      • UPC

      • EAN

      • GTIN or any other product aliases.

    2. Quantity: In this column, you need to mention the quantity of the products in your consignment.

      The below fields will only be visible when batch tracking is enabled for your workspace. You need to provide any one of the following attributes for a product.

    3. Manufacturing date: In this column, you need to mention the manufacturing date if the batch tracking attribute for a particular product is set as the manufacturing date. The date format should be mmm-yy or dd-mmm-yy. If you select this attribute, you need to provide the Shelf life for the same. For example, if the product's manufacturing date is November 25, 2022, then you need to enter the same as Nov-22 or 25-Nov-22.


      Note: Shelf life is the time period during which the product will be considered available for order fulfilment, after which the product is marked as non-sellable and not allowed to pick. This is not necessarily the expiry day but the last day after which you do not want to sell this product.

    4. Expiry date: In this column, you need to mention the expiry date if the batch tracking attribute for a particular product is set as the expiry date. The date format should be mmm-yy or dd-mmm-yy. If you select this attribute, you need to provide the Threshold period for the same. For example, if the product's expiry date is November 25, 2024, you need to enter the same as Nov-24 or 25-Nov-24.


      Note: The threshold period is the number of days before its expiry date to mark this product as non-sellable and not allowed to be picked.

    5. Batch code: In this column, you need to mention the batch code if the batch tracking attribute for a particular product is set as the batch code. You need to select an attribute that is physically present on the product or the product label. The attribute selected will be verified during QC and in case it is not present on the product or product label Eshopbox will reject them.

      For example, if the product's manufacturing date is selected as the attribute, you need to mention the same on the product or product label.

Note:

  • A single product cannot be associated with two batch tracking attributes. For example, you cannot select the manufacturing date as well as the expiry date for the same product.

  • The batch tracking attribute must be the same that you have added for the product at the time of product addition. If we receive items from a different batch of the same product in a consignment, Eshopbox will reject them in QC.

  • You cannot add multiple batches of the same products in consignment. You will have to create different consignments if you need to send multiple batches. The value of the batch tracking attribute of the same product cannot be different. For example, you cannot send the same product with different manufacturing dates.

  • You must also ensure batch tracking is enabled on your workspace. To check the same, navigate to Settings > Batch tracking.

  • Step 3: Convert to CSV and upload.

    Save the file as filename.csv and upload it to the Eshopbox workspace.

    When you edit this template, make sure to remove all the sample data in it. If you do not delete the sample data, you may receive an error when uploading.

Troubleshooting errors for the CSV template

If you do not edit the template correctly, you will receive errors while uploading CSV to the workspace. You can face the following errors:

  • Error #1 → Invalid file. To troubleshoot this error, ensure that you have not added any additional columns, renamed the mentioned headers in the template, or mistakenly uploaded an empty file. Follow the correct format for adding your inventory details and save the inward template as a CSV file before uploading.

  • Error #2 → Failed: The quantity cannot be less than zero. Make sure the value of the quantity is more than zero. To troubleshoot this error, ensure that you have mentioned the quantity against each Product ID in the template and have saved the file in the right format before uploading it back to your workspace.

  • Error #3 → Failed: The quantity should always be numeric. Make sure you have not included any alphabets or special characters. To troubleshoot this error, ensure that you have added the quantity in numeric against each Product ID in the template and have saved the file in the right format before uploading it back to your workspace.

  • Error #4Failed: The Product ID does not exist on the Eshopbox workspace. Please create the product on the Eshopbox workspace and retry the consignment. To troubleshoot this error, ensure that you have added valid Product IDs in the template's respective column and saved the file in the right format before uploading it back to your workspace.

  • Error #5→ Failed: The product identifier is mapped with a virtual combo product. You cannot create a consignment for the virtual combo.

  • Error #6→ Failed: The product with the same SKU/ ESIN cannot have different unit prices. To troubleshoot this error, ensure you have provided the same unit price for a similar product and save the inward template as a CSV file before uploading.

  • Error #7→ Failed: The product is in the draft status on the Eshopbox workspace. The product should be in 'active' status. To troubleshoot this error, please provide the missing details about the product and save the inward template as a CSV file before uploading.

  • Error #8→ Failed: The batch method is incorrect. To troubleshoot this error, ensure you provide the same batch method mentioned when creating the product and save the inward template as a CSV file before uploading.

  • Error #9→ Failed: The date format of this batch is incorrect. To troubleshoot this error, make sure you use the date format as mmm-yy or dd-mmm-yy, i.e., if the date to be entered is 25 November 2022, then you need to enter it as either Nov-22 or 25-Nov-22. Save the inward template as a CSV file before uploading.

  • Error #10→ Failed: The same SKU cannot contain different batch method values. To troubleshoot this error, ensure you provide the same batch value mentioned when creating the inventory and save the inward template as a CSV file before uploading.
