Tracking order settlements

Tracking order settlements refers to the process of monitoring and recording the transactions and reconciliations associated with marketplace orders. This involves following the flow of payments, refunds, and any adjustments from the time an order is placed until the financial aspects are fully resolved.

In this article, you will learn how to navigate the Order Settlements page, apply filters, and manage settled orders.

Navigating the Order Settlements page

To keep track of your order settlements on your Eshopbox workspace, you need to follow the below-given steps:

  • Step 1: From the header of your workspace, navigate to Payments > Order settlements.

  • Step 2: You will be redirected to the Order Settlements page. All the reconciled orders, showing payment details, refunds, and deductions, will be visible here.

Here, you can access a comprehensive summary of all payment settlements processed within the last 30 days.

Searching and filtering order settlements

The Order Settlements page offers search and filtering capabilities to help you efficiently manage and track your settled orders.

You can quickly locate specific transactions by utilizing the Order ID search function.

Additionally, to streamline your order settlement monitoring, you have the option to filter and categorize settlements based on various statuses as follows:

  • All: Displays all settlements.

  • Paid: Orders which are completely settled.

  • Refunded: Orders with processed refunds.

  • Void: Canceled or voided orders.

  • Awaiting Payment: Orders which are yet to be settled.

  • Non-Eshopbox: Orders not processed by Eshopbox.

  • Need Attention: Orders requiring action, including:

    • Overdue: Payments not received within the configured overdue period.

    • Suspense: New fees deducted by the marketplace which are not yet set up in the system.

    • Return Overdue: Returns not processed within the configured time frame after a refund deduction.

    • Negative Settlement: When the total amount paid is negative, indicating an issue with the reconciliation.

You can also apply the following filters to narrow down your search

  • Created on date range.

  • Payment status: This filter allows you to sort orders based on their current payment status. The available options are:

    • Awaiting payment: Orders for which payment has not yet been received or processed.

    • Paid: Orders that have been fully paid and settled.

    • Refunded: Orders where a refund has been issued to the customer, either partially or in full.

    • Void: Orders that have been cancelled or voided, typically before payment processing.

  • Sales channel: Select the specific channel for which you want to view the settled orders.

Tracking individual order settlements

You can view the settlement history associated with an individual order ID as well. To do so, search for the Order ID for which you want to view the settlement history and click on the Order ID.

You will be redirected to the Transaction details page. Here, you can view the order details as well as the settlement details associated with the order.

Exporting Order settlement report

To export an Order settlement report from your workspace, you need to follow the below-given steps:

  • Step 1: From the top pane of the Order Settlements page, click on Export.

  • Step 2: You will be redirected to the Export marketplace orders page. Select Marketplace orders report.

  • Step 3: Select the orders that you want to export.

  • Step 4: Select the fields that you need in the export and click on Export CSV.
