Tracking and reconciling COD payments

You can keep track of all the created payouts along with their scheduled payment dates, total outstanding amounts, the amount in the upcoming payouts, and the orders against which the payout is created from your Eshopbox workspace. You can track the created payouts on the View Payments page and the list of orders against which the payout is created on the View Orders page under the Cash on Delivery module.

In this article, you will learn how to track and reconcile your COD payments.

Tracking COD payments

To track the payouts created for the COD orders, you need to follow the below-given steps.

  • From the header, navigate to Payments > Cash on delivery (COD).

  • You will be redirected to the Cash on Delivery (COD) page. You can view all the payouts created for the COD orders here.

  • In the top pane, you can view the following

    • The total outstanding payment is divided based on the scheduled payment dates.

    • Filters

      • Payment date

      • Status

        • Failed

        • On hold

        • Paid

        • Upcoming

    • Search bar which you can use to search for any COD payment using Order ID, forward tracking ID, or Bank reference ID.

  • You can track COD payments using a set of predefined filters.

    • All: List of all the payouts.

    • Upcoming: List of payouts where the payment is yet to be made from our end.

    • Paid: List of payouts where the payment made is successful.

    • On hold: List of payouts that are put on hold.

    • Failed: List of payouts where the payment made is not successful.

  • You can view the following details for all the payouts

    • Payment date: The date on which the payment is supposed to be made by Eshopbox.

    • Settlement period: The amount payable to the client with respect to the payout generated for the orders delivered.

    • Payment ID: A unique identity assigned to each payout. You can click on the payment ID to view all the orders associated with this payment ID.

    • Bank reference ID: The unique identifier generated by the bank for the completed and failed payment.

    • Status: The status of each payment, i.e. Initiated, Paid, Failed and On Hold.

    • Net amount: The amount payable to the client with respect to the payout generated for the orders delivered.

      You can hover over the net amount to view the amount breakup.

Tracking the COD orders

  • From the header, navigate to Payments > Cash on delivery (COD). You will be redirected to the Cash on Delivery (COD) page. Click on View Orders.

  • You can view all the orders against which the COD payments are created here.

  • In the top pane, you can view the following

    • Total COD orders placed in the last 30 days, along with the total outstanding order amount, which is divided into the Paid and Awaiting payment.

    • Filters

      • Delivered on

      • Payment date

      • Location

    • Search bar, which you can use to search for any COD payment using Order ID, forward tracking ID, or Bank reference ID.

  • You can track COD payments using a set of predefined filters like

    • All

    • Awaiting payment

    • Paid

    • Payment on hold

  • For every order, you can view the following details

    • Customer order ID

    • Forward tracking

    • Channel

    • Customer details

    • Items in the shipment

    • COD amount

    • Delivery date

    • Status

Note: All the COD orders that are settled will have an activity logged, which will include its settlement details, and the payment status will be marked as “Settled”.

Exporting COD payment reports

You can export various COD payout reports from your Eshopbox workspace for analysis To do so, follow the below-given steps.

  • From the top pane, click on Export.

  • You will be redirected to the Export COD payout page.

  • Select the report that you want to export.

    • COD payment level report: All details related to COD payments on the payout level.

    • COD order level report: All details related to COD payments on the order level.

  • Select the payments/ orders which you want to export.

  • Select the fields that you want to export.

    Note: All the fields will be selected by default.

  • Click on Export CSV.

    Your CSV file will be exported and will be available over your email as well as in the Export tab of the ‘Files’ section on your top menu bar.
