Managing marketplace payments

Managing marketplace payments involves overseeing financial transactions for sales across various platforms. Using your Eshopbox workspace, you can reconcile bank receipts and payments for orders sold by you on the marketplaces, identify transactions that need attention, and view both order-related and non-order settlements for each transaction.

In this article, you will learn how to add your marketplace transactions to your workspace and view all the order and non-order settlements related to a transaction.

Adding a marketplace payment

You can upload and reconcile all the payments received from the marketplace on your Eshopbox workspace.

To add a payment received from the marketplace, you need to follow the below-given steps:

  • Step 1: From the header of your Eshopbox workspace, navigate to Payments > Previous Payments.

  • Step 2: On the Previous Payments page, click on Add Payments. You will be redirected to the Add payout page.

  • Step 3: Enter the below transaction details and click on Continue.

    • Fund transfer date: Date of receiving the marketplace payment.

    • Amount: Total amount received.

    • Bank Reference ID: Unique identifier for the payment.

    • Remarks: Optional comments on the payment.

  • Step 4: Select the marketplace for which you want to add a payment from the dropdown. Learn here how to prepare the payment report for

    • Nykaa

    • Tata Cliq

  • Step 5: Upload the CSV file generated from the marketplace and click on Submit.

If the payment amount matches, Eshopbox will start the reconciliation. If not, an error message will appear, and you need to resolve the same.

Note: If you do not upload a payment report received from the marketplace, Eshopbox will mark it as overdue once the due date for that payment crosses.

Navigating the Previous Payments page

You can view all the marketplace payments added to the workspace by navigating to the Previous Payments page from your workspace header.

On the Previous Payments page, you can view and filter the uploaded payment reports depending on

  • Status: Processing, Success, Error

  • Portal

  • Payment date

You can also hover over any payment to download the

  • Original file: This is the initial payment report you uploaded, containing the raw data about the transactions from the marketplace.

  • Reconciled file: This is the file generated after Eshopbox has processed and reconciled the payment information, matching it with internal records and adding additional details or corrections.

Navigating the Payment details page

To view all the settlements related to an individual transaction, you can search the relevant Payment ID/ Bank reference ID or click on the Payment ID/ Bank reference ID for the relevant record.

You will be redirected to the Payment details page. Here, you can view the

  • Payment details such as Payment ID, Payment date and the Sales channel

  • Summary of the payment received by you, including the sales, taxes and fees.

  • Order settlements: This is the payment received from the marketplace against an order sold by you. You can filter out the order settlements based on their status as below:

    • Awaiting payment

    • Paid

    • Refunded

    • Non Eshopbox payment

  • Non order settlements: These are the transactions that are not directly associated with customer orders. These can include advertising charges, reserved charges, cancellation charges, storage charges and other miscellaneous fees. You can choose to ignore them or mark them as resolved.

You can also export the marketplace payout report on the order level. To do so, follow the below-given steps:

  • Step 1: Click on Export. You will be redirected to the Export marketplace payout level orders page.

  • Step 2: Select Marketplace payment report.

  • Step 3: Select the orders you want to export.

  • Step 4: Select the fields that you need in the export and click on Export CSV.
