In this article, you’ll understand:

  • What are available credits
  • How COD to Wallet auto deduction works
  • How COD to Wallet recharge is processed
  • Where to track these transactions in your passbook and COD page
  • Different statuses involved

What Are Available Credits?

Your Available Credits represent the total amount that can be used to pay for Eshopbox services such as fulfilment, shipping, and subscription charges.

This value is calculated using the following formula:

Available Credits = Wallet Balance + COD Balance

This means your COD collections directly influence the funds available in your workspace, especially when automated adjustments or COD-to-wallet recharges occur.

What Does COD Balance Represent?

Your COD Balance includes:

  • COD earnings that are currently being collected from customers
  • COD amounts that are on hold due to KYC or compliance requirements

This value reflects the total COD money Eshopbox is processing on your behalf but has not yet been settled or transferred as a payout.

Types of COD Wallet Transactions

There are two types of COD-related transactions you may see in your workspace:

  1. COD to Wallet Recharge
    • When you choose to move a portion of your COD earnings into your wallet balance.
    • You need to do the wallet recharge manually.
  2. COD to Wallet Auto Deduction
    • Triggered when your wallet balance is insufficient. Eshopbox deducts the required amount from your COD Balance automatically to ensure continuity of services.
    • The amount will be deducted from your wallet automatically.

Both transactions help maintain uninterrupted billing and operational processes.

COD-to-Wallet Auto Deduction

Whenever a COD settlement is generated, Eshopbox automatically checks the status of your wallet. If the wallet balance is negative or insufficient, Eshopbox will automatically transfer the required amount from your COD Balance to your wallet. This adjustment ensures that your wallet is replenished instantly, allowing all services such as shipping, fulfilment, and billing to continue without interruption.

  • Net amount: The final payable amount after subtracting Eshopbox fees from the COD amount.

Steps to Perform a COD → Wallet Recharge

Here’s how the COD → Wallet recharge flow works (based on your Figma):

Step 1. Log in to your Eshopbox workspace.

Step 2. Go to the “Add Credits” section in the dashboard.

Step 3. Select the COD Balance option as the payment source for the recharge.

Step 4. Enter the amount of COD Balance you want to convert into wallet credits.

Step 5. Confirm the recharge, reviewing the details (amount, source, and destination).

Step 6. Once you submit, Eshopbox will process the transfer:

  • It deducts the selected COD amount from your COD Balance.
  • The same amount is immediately added to your wallet.

Step 7. You’ll receive a confirmation notification, and the transaction will be logged in your wallet passbook (ledger) under a “COD → Wallet Transfer” entry

COD Statuses

Every COD transaction in your workspace displays the following statuses, depending on your KYC verification stage:

  1. Ongoing:

COD orders whose payouts are already created, or the orders are in a verified or initiated state

      2. Hold:

COD amounts temporarily withheld due to pending KYC or verification requirements.

      3. Paid:

COD amounts that have been successfully settled and paid to the brands.

Note: These statuses help you track the movement of your COD money across the settlement cycle.

COD Payment Cycle

Eshopbox follows a 7-day COD payment cycle, meaning COD amounts collected from customers are typically settled and paid out weekly. Any adjustments, holds, or reserve amounts are also updated during this cycle.
